Events Administrative Assistant - The Birley Clubs


A very exciting opportunity has arisen for an experienced Events Administrative Assistant to join the Events Team at The Birley Clubs based in Fitzrovia, London.


The Birley Clubs operate some of the world’s most iconic private members’ clubs; Annabel’s, Mark’s Club, George, Harry’s Bar and Bath & Racquets Club.


The Events Administrative Assistant will be an integral member of the Events Team, contributing to the efficiency and productivity of the department. You will work simultaneously to support the Events team and Creative Director, embracing all aspects of administrative duties, organisation and communication.


Job Description:

  • Support the Creative Director, senior managers and the events department with administrative requests and queries
  • Liaise with suppliers with a focus on:
    • communication on status of different jobs and projects
    • Receiving correct invoicing and making payments
  • Tracking of directors and departmental expenses, including submission of expense claims and reconciliation of expense reports
  • Organise and schedule meetings and appointments for the Creative Director and/or department
  • Attend meetings and take meeting notes (where necessary)
  • contribute to and produce a range of decks outlining designs or event plans, including those required by the Creative department, suppliers or other stakeholders
  • Manage the database of contacts
  • Perform research tasks required for preparation of various events or designs
  • Source suppliers, including making purchases, and arranging deliveries and returns

We are ideally looking for candidates with:

  • 1 - 3 years experience in a similar administrative capacity
  • Attention to detail, flexible attitude and ability to work independently
  • good multitasking skills and ability to work in a fast-paces environment
  • Good Microsoft Office skills, including experience working with Microsoft PowerPoint and Microsoft Excel
  • Willingness to occasional work on evenings and weekends
