Role Overview & Responsibilities

Team Secretary / Administrator - Permanent, Canary Wharf

Salary: £30,000 to £40,000 per annum

Hours: 40 per week, 08.30am - 17.30pm Monday to Friday

Duties & Responsibilities

Providing a high level of personal assistance to the Group Finance Director & Operations Director and being part of the team maintaining the policies, company rules and quality management for Ballymore.

  • Deal with telephone enquiries on behalf of the GFD & OD as necessary and any associated follow up.
  • Deal with written correspondence on behalf of the GFD & OD as required.
  • Deal with confidential and sensitive information appropriately.
  • Plan and organise diaries to make efficient use of time.
  • Inform attendees of forthcoming meetings and prepare agendas as necessary.
  • Maintain filing systems both electronic & paper and to ensure that the office runs efficiently at all times.
  • Liaising with internal and external stakeholders as required.
  • Reconcile monthly expenses on behalf of the GFD & OD & upload to IFS system
  • Assist with and produce reports and presentations
  • Any other office related tasks to include photocopying, printing, faxing, post, registered mail.
  • Assist with travel arrangements, ticket bookings and hotel bookings

Skills & Experience

  • Excellent communication skills (both verbal/written) achieved whilst supporting a senior level team.
  • Excellent interpersonal skills to be able to liaise effectively at all levels.
  • Confident, assertive whilst maintaining confidentiality and discretion
  • Ability to meet deadlines.
  • Able to prioritise own workloads and to be able to work on one’s own initiative.
  • Excellent organisational and administrative skills.
  • Advanced knowledge of Microsoft Office 2010 - Word, Outlook, Excel, PowerPoint.
  • Excellent attention to detail, flexible, adaptable and prepared to be ‘hands on’
  • Ability to draft clear and focused letters and reports. Proven experience of working at an Executive Team level.
  • Knowledge of office and administrative procedures and processes.
  • Experience of producing effective minutes and agendas.
