Role Overview & Responsibilities

Role Overview:
Your role will be to assume full responsibility of the mail room and all the post (including letters, parcels, emails) incoming & outgoing from site. You will need to keep accurate records of every transaction and keep control of the workload for the day, avoiding any delays of the mail.

Shift:

Monday to Friday from 12:30pm to 4:30pm

Key duties and responsibilities

- To book and receive couriers. To log each booking within appropriated spreadsheet adding all the relevant information.

- To keep control of open tickets within the Helpdesk.

- To receive parcels and other deliveries throughout the day. To log movements in the appropriated books and contact staff to pick items (letters, parcels...) up.

- To keep the mail room tidy and organised, without leaving any parcels unattended or unlocked.

- To receive mail, open it, log it on the appropriated spreadsheet and scan it to the recipient.

- To keep track of redirected post received from an office in a different location.

- To separate mail received and allocate in the correct pigeon holes in the mailroom store cupboard.

- Franking of mail to be done daily.

- To identify and prioritise urgent letters for Special next day delivery.

- To collect deliveries from the loading bay as and when required.

- To assist with event set ups.

- To keep control of stationery cupboards and place orders with facilities team to replenish.

- To keep control of the archiving.

- To log all in and outgoing mail with their associated costs to provide the information for the monthly reports.

Previous mailroom experience preferable but not essential

Good command of all computer programmes essential i.e. excel and email etc
