Role Overview & Responsibilities

About The Role


We are looking for a Personal Assistant to provide support to the Executive Director of Sales and the wider team in a fast paced, creative and dynamic environment. The Executive Director of Sales heads up the team which includes the Licensing and Promotions & Experiential departments.


The role requires attention to detail, juggling of priorities, an upbeat can-do attitude, and includes a wide range of duties.


What You’ll Do


  • Diary management and meeting organisation for the Executive Director of Sales
  • Inbox management
  • Taking minutes of meetings and ensuring that all action points are followed up
  • Liaise and coordinate with other Executive Assistants and Personal Assistants as well as the wider Licensing, Promotions & Experiential, and Acamar teams
  • Generating correspondence, meeting and presentation preparation
  • Travel arrangements for the Executive Director of Sales including producing itineraries
  • Coordination of trade show meetings
  • Processing credit card and expenses for the Executive Director of Sales
  • Managing and tracking the T&E budget for the Licensing and Promotions & Experiential teams
  • Liaising with international agents with a sensitivity to time zones and languages
  • Preparation of presentations for Board Meetings, company and team Away Days, etc
  • Setting up conference calls and Zoom calls for external/internal meetings
  • Preparation for trade shows
  • Arrange external meetings including catering and travel when necessary
  • Any other ad hoc duties that may be reasonably required from time to time

What You’ll Bring

Essential:


  • An experienced Assistant with solid experience of providing high-level and varied support to senior personnel in a fast-paced environment
  • Ability to multitask and prioritise effectively
  • Strong organisational skills
  • Diary management and general secretarial skills
  • Excellent knowledge of IT systems and Microsoft Office packages
  • Experienced in dealing with confidential information and documentation in a sensitive manner
  • Highly numerate with exceptional attention to detail
  • The ability to produce high quality documents in a timely fashion
  • Proven communication/presentation skills – both verbal and written
  • Confident in communicating with the team and liaising with other departments

Desirable:


  • Experience working for a small, growing team or independent start up is preferred but not essential
  • Experience of working within the Entertainment and/or Consumer Products industry is a helpful advantage
